Your privacy matters to me. Planning a ceremony means sharing personal things, sometimes the most personal things of all, and I want you to feel completely at ease doing that. This page explains, simply and honestly, what information I hold, why I hold it, how I keep it safe, and the choices that are yours.

Who this is from

This website belongs to Jade Jaenicke, working as Ceremonies by Jade, an independent celebrant based in Deal, Kent. I am the person responsible for the information described here, and you can reach me any time at info@ceremoniesbyjade.co.uk.

What I collect

Only what I need, and mostly only what you choose to tell me.

• When you get in touch, through my enquiry form, by email, by phone, or on Instagram, I'll have your name, the way you've chosen to contact me, and whatever you share about the ceremony you're imagining.
• When we work together, to write something that truly sounds like you, I'll gather the details that make your ceremony personal: how you met, the people who matter, family and relationships, the stories and moments you'd like included, and any readings, music or rituals you love.

You don't need an account or a password to browse this site, and I don't ask you to sign in.

The more personal details

Ceremonies are, by their nature, intimate. Along the way you might share things that feel sensitive: family circumstances, beliefs, accessibility needs, or memories of someone who is no longer here. I treat every one of these with genuine care and complete confidence. I only ever use them to shape your ceremony, and I never pass them on beyond what's needed to make your day happen.

Why I collect it

Simply, so I can look after you well. That means using your information to:

• reply to your enquiry and answer your questions;
• prepare a quote and talk through what you're hoping for;
• plan, write and deliver your ceremony;
• stay in touch with you along the way; and
• keep the records I'm legally required to, such as for accounting and tax.

The lawful bit, kept short

Data protection law asks me to have a clear reason for holding your information. Mine are straightforward: when you enquire, I use your details because you've asked me to help. When we go on to work together, I use them to deliver what we've agreed. And a small amount of it, my financial records, I keep because the law requires it.

How I keep it safe

Your information is stored securely, and access to it is limited to me. I keep it only for as long as there's a good reason to: enquiry details for a reasonable time in case we pick the conversation back up, your ceremony details for the duration of our work together and a while afterwards for reference, and financial records for around six years, as HMRC requires. After that, it's deleted.

Who I share it with

I never sell or rent your information to anyone. That's simply not how I work. I only ever share it:

• with your permission;
• where it's genuinely needed to deliver your ceremony (for example, coordinating with your venue, the registrar, or a supplier you've asked me to work alongside);
• with my accountant, for tax and bookkeeping; or
• where the law requires it.

A few trusted services help me run the website and my email. These are:

• Cloudflare, which hosts this website and helps keep it secure and fast. To do that, it may process basic technical data such as your IP address.
• Formspree, which delivers messages from my enquiry form safely to my inbox.
• Apple iCloud, which provides my email.
• Google Fonts, which supplies the typefaces the site uses. When a page loads, your device requests these fonts from Google, which means Google may receive its IP address.

Each of these is an established provider with its own privacy protections in place.

Cookies and tracking

I've kept this deliberately simple. This website does not use advertising or analytics cookies. I don't track you, build a profile of you, or follow you around the internet. The only cookies used are essential ones, such as remembering access to a private area if you've been given a link. There are no third-party tracking cookies. The one thing worth noting is the Google Fonts point above.

Your rights

The information is yours, and you're in control of it. At any time you can ask me to:

• show you what I hold about you;
• correct anything that's wrong;
• delete it, where I'm not required to keep it;
• pause or limit how I use it;
• withdraw your consent; or
• provide a copy of it.

Just email me at info@ceremoniesbyjade.co.uk. There's no charge, and I'll always come back to you within a month.

If something's not right

I hope you'd always feel able to come to me first. I'd much rather put something right than have you worry about it. But if you're ever unhappy with how I've handled your information, you have the right to contact the Information Commissioner's Office (ICO), the UK's independent authority for data protection, at ico.org.uk.

Updates to this policy

From time to time I may update this policy, if my business changes, or if the way the website works does. The current version will always live here, with the date it was last updated shown at the top.
